Privacy Policy
Effective Date: October 12, 2026 · Last Updated: October 14, 2026
VenSearch LLC (“VenSearch,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, how long we keep it, and the choices you have when you use our website and platform at vensearch.com (the “Platform”).
1. Information We Collect
Account Information. When you create an account, we collect your name, email address, and password (stored only in encrypted, hashed form). You may also provide your job title, phone number, company name, and company website.
Organization & Team Information. If you manage a vendor or channel partner profile, we collect the business information you provide for that organization, including company descriptions, offerings, posts, documents, and contact details, along with your role on the organization's team (Owner or Editor).
Invitations. If someone invites you to VenSearch or to an organization's team, we receive your email address from the person who invited you, and we record whether the invitation was accepted, declined, or expired.
Searches. When you are signed in, we record the searches you run on the Platform and the vendors that appeared in the results. We do not record searches made without an account.
Vendor Engagement. When you are signed in, we record which vendors you were shown in search results and AI answers, and what you clicked, such as a vendor in your results, a vendor profile, an insight post, or a link to a vendor's website, along with the search phrase that led to it.
Account Activity. We keep a record of activity on your account, including sign-ins (date and time, approximate location such as city, region, and country, and device type such as “Chrome on Windows”), password changes, and changes you make to organization profiles and teams. We derive approximate location from your connection at the time of sign-in; we do not store your IP address in this record.
Inquiries & Communications. If you request advisory help or contact us, we collect the information you include, such as your name, company, phone number, and the details of your request.
Email Delivery. For emails we send you (for example, invitations and account notices), we record whether the email was delivered, delayed, bounced, or reported as spam. We do not track whether you open our emails or click links in them.
Technical Data. Our hosting provider processes standard technical information, such as IP address and browser type, in order to deliver the Platform and protect it from abuse.
2. How We Use Your Information
We use your information to:
- Operate and maintain the Platform and your account
- Process your searches through our AI-powered search technology and show relevant vendors and offerings
- Provide advisory, procurement, and negotiation support you request
- Manage organization profiles and teams, including sending and tracking invitations
- Send account and service emails, and confirm they were delivered
- Keep accounts secure, including reviewing sign-in activity and preventing fraud and abuse
- Provide vendors with aggregated, non-identifying analytics about how often they appear and are viewed (see Section 3)
- Understand how the Platform is used so we can improve it
- Enforce our Terms of Service and meet legal obligations
We do not use your information for targeted advertising. We do not sell, rent, or trade your personal information to anyone.
3. Who Can See Your Information
VenSearch. Only VenSearch personnel with a legitimate operational need can access your information.
Vendors. Vendors never see who you are or what you searched. A vendor may see aggregated statistics, such as how many times it appeared in search results or how often its profile was viewed. A vendor may also see a search phrase that surfaced it, but only when at least three different people have searched that phrase, so no individual's wording is ever shown.
Advisory Requests. When you ask us for advisory or procurement help, we may share the details needed to fulfill your request, such as your company name, requirements, and contact information, with the vendors or distribution partners we contact on your behalf. We only do this in connection with a request you make.
Your Organization’s Team. If you belong to an organization's team, other members of that team can see your name, email address, and role, and the organization's activity log shows changes you make to its profile. Posts and content are shown publicly as written by the organization, not by you individually.
4. Service Providers
We use a limited number of trusted service providers to operate the Platform. They process data only on our behalf and under our instructions:
- Anthropic — Powers our AI search and research features. Your search text is sent to Anthropic's Claude API to generate results.
- OpenAI — Converts search text into numeric representations (“embeddings”) so we can match your search to relevant vendors and offerings.
- Supabase — Provides our database, file storage, and sign-in infrastructure. Your account, profile, and activity data are stored there.
- Vercel — Hosts the Platform and delivers its pages.
- Resend — Sends our emails and reports whether they were delivered.
- Sentry — Alerts us when something in the Platform breaks. Error reports include technical details such as the page, browser, and the error itself; we remove sign-in links, search text, and email addresses before they are sent.
Under their commercial terms, these providers may not use your data for their own purposes, and the AI providers do not use data we submit through their APIs to train their models.
5. Data Security
We use industry-standard measures to protect your information, including:
- Encryption in transit (HTTPS/TLS) and encryption of stored data
- Passwords stored only as secure hashes; invitation links stored only in hashed form and valid for 7 days
- Database access rules that prevent users from reading or changing other people's or other organizations' data
- Access to administrative tools limited to authorized VenSearch personnel
- Regular security reviews of our infrastructure and practices
No method of electronic storage or transmission is completely secure, and we cannot guarantee absolute security.
6. Data Retention
We keep information only as long as we need it:
- Account information is kept while your account is open.
- Sign-in history, search history, and email delivery records are kept for 12 months and then deleted automatically.
- Vendor engagement records are kept for analytics, but after 12 months your identity and search text are removed from them, leaving only anonymous counts.
- Organization activity logs (for example, profile edits and team changes) are kept for as long as the organization's profile exists.
- Advisory inquiries are kept as business records of the request.
Account deletion. If you ask us to delete your account, we will do so within 30 days. Deletion removes your account, your organization memberships, your search history, your sign-in history, and email delivery records for your address, and removes your name and email from activity logs. Records of which vendors you were shown or clicked are kept only as anonymous counts, with your identity and search phrases removed. Content you created for an organization, such as posts and documents, belongs to that organization and remains on its profile. Advisory inquiries may be retained as business records unless you ask us to delete them too, except where we must keep information for legal or compliance reasons.
7. Cookies & Similar Technologies
The Platform uses only essential cookies: to keep you signed in, and to remember which organization you are working in if you manage more than one. To understand how the website is used, we collect anonymous, aggregated visit statistics (such as page views, the site that referred you, country, and device type) through our hosting provider, Vercel. This uses no cookies and does not identify you or follow you across other websites. We do not use advertising cookies or cross-site tracking, and our emails do not contain tracking pixels.
8. Your Rights
You have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Delete your account and associated personal data, as described in Section 6
- Export your data in a portable format (we provide a JSON file)
- Leave an organization's team at any time (unless you are its only Owner), without affecting your own account
- Opt out of non-essential communications
To exercise any of these rights, contact us at the address below. We will respond within 30 days.
9. Children's Privacy
The Platform is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected information from a child under 18, we will delete it promptly.
10. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will post the updated policy on the Platform and update the “Last Updated” date. Your continued use of the Platform after changes are posted constitutes your acceptance of the revised policy.
